How do I prepare for going on vacation or being out of office?

When taking time off, email provider@joinmodernhealth.com with your out-of-office dates and mark your calendar blocking event as “busy," ensuring no client availability during this period. Set your new client capacity to 0 in the Settings to avoid new matches and adjust upon return. Notify clients ahead of time, cancel and communicate any affected sessions, and direct clients needing assistance to help@joinmodernhealth.com.

 

Step-by-Step Instructions:

In the event that you decide to take some time off, whether that be for an exciting vacation or other personal reasons, we have a couple of proactive steps that you should take. These steps are listed below: 

  1. Reach out to provider@joinmodernhealth.com in advance to inform us of your out-of-office dates so we can make a note within our system.
  2. Please mark your out-of-office time in your Modern Health Google calendar* and verify that no availability shows up during your desired dates by clicking 'Preview Availability' in the dashboard. We will use this to ensure existing clients are not able to schedule sessions while you are OOO. Please ensure that the calendar block is marked as "busy."
  3. Set your new client capacity to 0 to avoid receiving new matches while you are OOO. This can be done in the Settings page. 
    • Once you return, please update your client capacity to a number greater than 0. This will make you active and eligible to receive new Modern Health referrals.
  4. Ensure that you do not have existing sessions scheduled during this period that you are OOO. If you do have sessions scheduled and plan to cancel them, please be sure to communicate this to your clients prior to or in addition to cancelling. 
  5. Notify your clients of your out-of-office time ahead of time. If your clients need to have sessions while you are out and/or your clients have questions, we ask that you kindly instruct clients to reach out to help@joinmodernhealth.com for further assistance.
    • If you’d like to, feel free to create an auto-reply for incoming mail in your MH Gmail* informing your clients that you’re out of office.

*Please note, if you are a therapist, you will not have a Modern Health Gmail account. Instead, we recommend taking these steps with the email account you use with Modern Health as well as any calendar(s) you have connected to the Modern Health platform.
